General

How do I check the membership of a scheme?

Click on 'existing members' and then 'list all members'. This will bring up a list of every member who holds benefits in the scheme. For schemes with over 500 members it will be necessary to narrow the search criteria before doing this.

How do I inform you about a leaver from a scheme?

Click on 'existing members', then use the search facility to find the member you need to notify us has left. Click on the surname of the member and you will be taken into the plan details section for that member. Under 'plan details' on the page there is an option to notify us of a leaver. Click on this and fill out the details. You can choose from a number of options as to why they are leaving the scheme. We will then issue the appropriate documentation automatically.

How do I inform you of a member's change of personal details?

Please note due to the data protection act this facility is only available to certain access types, so may not appear as an option if your access does not have the appropriate permissions. Click on 'existing members', then use the search facility to find the member you need to notify us about. Click on the surname of the member and you will be taken into the plan details section for that member. Under plan details there is an option to change contact details. For address changes we will automatically update our records and issue confirmation. For change of name we will require sight of the documentation detailing the change, e.g. marriage certificate or deed poll, and the change will not be made until we see this.

Contributions

How do I remove members from contribution batches?

If you are copying a previous month's collection, once you have copied it you have the option to make any amendments, such as adding or removing members from the batch. If the person in question has left the scheme, please notify us of this using the 'notify us of leaver' function so we can update our records and send the appropriate documentation.

How do I look at the contributions that have been submitted?

The most recent contributions submitted are shown on the contributions homepage. More details on the status of each batch is shown under the contributions history link. This brings up collections. Clicking on 'view direct debits' will show the actual amounts and dates that Aviva has debited from your nominated bank account.

How do I pay a single premium?

Single premiums cannot be paid across with regular contribution batches. You can either send in a cheque or BACs payment for the amount along with an explanatory letter, or download a pre formatted covering note from the member summary screen.

How do I check what funds are available to the scheme?

From the scheme summary, click 'view funds and unit prices'. this will bring up a list of funds and unit prices which are available. you can also view information on those funds by clicking on them and seeing the fund fact sheet.
